Role description: Junior Quality Assurance Administrator

General Purpose
The Junior Quality Administrator’s role will be to provide administrative support as and when required to enable the smooth delivery of services to clients.

Main Job Tasks and Responsibilities
The Junior Quality Administrator will be expected to perform the following duties:

• Keep accurate records of all learner documentation collected from and delivered to the office
• Follow instructions from Quality Administrators and Quality Manager for basic liaisons on quality assurance related matters
• Ensure that all learner portfolios are kept in order and filed neatly (physical & electronic)
• Assist the Senior Quality Administrator with maintenance/updating of the learner management systems
• Ensure electronic documents are filed in the correct file name format
• Perform learner database uploads as and when required
• Create learner profiles for registration on ARTG database
• Assist with any project start-ups.
• Training admin
• Material management
• Logistics management
• Maintain structured filing system for learner documentation kept at the office (physical & electronic)
• Liaise with Courier Company regarding transportation of learner documents when required and ensure all parties are aware of courier arrangements.
• Scan and file waybills of courier deliveries
• Perform any other administrative duties as required by Senior Quality Administrator or Quality Manager.
• Follow correct quality administration procedures
• Scan/photocopy portfolios
• Document validation
• Data accuracy
• Archiving

Moderation and Verification
• Assist with portfolio audits in preparation for moderation and verification
• Prepare portfolios for moderation and verification
• Liaise with Project Administrators with regards to any fix ups/information required from associates during the moderation/pre-verification process
• Template preparation

• Create learners for registration on INSETA database
• Compile provisional and final statement of credits for all learners on all programmes
• Keep a tracking list of all certificates received from INSETA for distribution to learners
• Compile and provide INSETA with termination reports as and when required
• Load applicable NLRD credits
• Report & query management

Education and Experience
• Minimum 1-2 years administration experience preferably in a training environment
• Excellent English communication skills - written and verbal
• Working knowledge of Microsoft Office (Outlook, Word, Excel)

R6 000,00 – R7 500,00 depending on experience
